Privacy Policy

Tokyo Asset Solution Co., Ltd. recognises the importance of protecting personal information and has established, implements and maintains the following privacy policy.

1.Basic Policy

We respect and comply with the laws and social order regarding the protection of personal data and strive to handle and protect personal data appropriately.

2.Use of Personal Information

Your personal data (name, address, date of birth, place of work, annual income, telephone number, e-mail address, etc.) will only be used for the following purposes.

  1. Sales activities (visits, DMs, mailing brochures, telephone solicitation, e-mail solicitation, etc.) for the Company’s businesses (real estate business, property leasing, property management, etc.) and the implementation of various procedures related to each transaction.
  2. Provision of personal data to third parties to the extent necessary to achieve the purposes of use in (1) above.
  3. To verify identity of the persons named in the application forms, contracts, etc.
  4. To verify identity under the Prevention of Transfer of Criminal Proceeds Act
  5. In the event that we need to contact you for any reason other than those listed above.
    The provision of various information and services will be withdrawn at the request of the individual.

3.Security Control Measures of Personal Data

We have implemented organizational, human, physical and technical security controls to prevent unauthorized access to personal information and to prevent the loss, alteration or disclosure of personal information.

4.Joint Use of Personal Data

  1. Personal data relating to our clients may be disclosed to group companies (TAS Capital Co., Ltd. and Kansai Asset Solution Co., Ltd.) to the extent necessary to achieve the purposes described in 2.(1) above.
  2. Items of personal data to be used jointly
    Personal information required for the purposes of use in 2.(1) above, such as name, address, email address, telephone number, information about the contracted dwelling unit, etc.

5.Provision of Personal Data to Third Parties

In the following cases, customers’ personal data may be disclosed in writing, electronically, by post, telephone or e-mail.

  1. Upon provision of personal information (name, address, e-mail address, telephone number, survey response content, etc.) to the business owner, seller, sales company, or intemediary, necessary for their real estate business.
  2. To the extent necessary to achieve the purpose of use in 2.(1) above, the necessary personal data items (name, address, email address, telephone number, contracted dwelling unit information, etc.) will be provided to the following parties.
    • abusiness operators, property sellers, sales companies and intermediaries
    • bFinancial institutions, judicial scrivener, land and house investigator and property managers involved in the relevant property transactions.
    • cOther parties to the extent necessary to achieve the purposes of use in [a] and [b] above.
  3. Where the customer consents to disclosure.
  4. At the request of judicial and administrative authorities in accordance with laws and regulations.
  5. Where it is necessary for the protection of a person’s life, body or property and it is difficult to obtain the consent of the person concerned.
  6. Where it is particularly necessary for the improvement of public health or the promotion of the sound development of children and it is difficult to obtain the consent of the person concerned.
  7. When it is necessary to cooperate with a state body, a local authority or its delegate in the performance of a legally prescribed task and the person concerned is likely to interfere with the performance of that task.

6.Outsourcing of Handling of Personal Data

The personal information provided by customers may, in principle, be processed by subcontractors with whom a confidentiality agreement has been concluded, for the purposes of using the personal information as indicated in point 2 above.

7.Acquisition of personal data from public information and other sources

We may properly obtain personal data from publicly available information such as property registers, commercial registers, telephone directories and other directories and use it for the purposes of 2.(1) above.

8.Inquiries about Personal Information

If a customer requests notification of the purpose of use, disclosure, correction, addition or deletion of content, cessation of use, erasure or cessation of disclosure to third parties of retained personal data relating to the customer, we will comply with the request promptly and, in the event of a complaint or consultation about retained personal data, we will respond promptly and appropriately.

Retention of personal data refers to data that we ourselves have created and organised to enable us to search for specific individuals from among the personal data of customers that we handle, and for which we have the authority to disclose information or correct the content. However, this does not include data retained for less than six months or data otherwise required by law.
